Event Coordinator
Position
Nordregio is currently seeking to expand its communications team with a full-time event coordinator to plan and execute external and internal events that promote our research and organisation. A successful applicant has a relevant educational background, at least two years of experience working with events, and preferably some experience in project management.
As an event coordinator at Nordregio, you are organised, creative, and self-motivated and fit well into our cooperative, international work environment with many parallel tasks. You are also a constructive team player who supports our communication advisors with the planning and implementation of impactful events. You will be open to travelling and organising events across the Nordic Region and occasionally in EU countries.

Experience in Nordic co-operation is an advantage, but mastering English and a Scandinavian language is required.

What we offer
The position starts as soon as possible – or is subject to agreement. Nordregio offers competitive salaries and an initial full-time contract of four years (with possibility of another four years extension). According to the agreement “Avtale om rettstilling for samnordiske institusjoner og deres ansatte”, you are entitled to a leave of absence from your present position for the duration of your employment at Nordregio if you are employed by the State in a Nordic country.

Requirements
- The position requires vocational training or a bachelor’s degree in event coordination, communications or another relevant field
- At least 2 years of experience in a similar role
- Fluent in English and at least one Scandinavian language.
- Highly motivated with a sense of detail and an ability to plan and manage high-level events.
- Ability to work independently, as well as in a team. You will collaborate with communication advisors and researchers internally, external suppliers, as well as stakeholders.
- Good command and understanding of digital event tools (we use ungapped) and CMS (wordpress)
- Experience working with streaming (in a studio), video content and editing is an advantage.

Main responsibilities
- Develop and plan the institution's flagship external events, including our annual conference Nordregio Forum
- Coordination and ordering services for events, such as venues, food, accommodation, livestreams, etc and outreach to speakers and relevant stakeholders for events.
- Travel and coordinate event production at venues across the Nordic region and mange contacts with suppliers throughout the region
- Plan and implement strategic internal events and conferences, liaising with our internal administrative team
- Manage budgets and track expenses for events
- System manager for our event coordination tool (Ungapped)
- Advise project managers on organizing project workshops and if time allows support implementation
- Contribute to the communication department's studio and webinar activities
- Responsible for ensuring that events follow the institution's sustainable events checklist
